Purpose

The primary purpose of this position is to build a team that will allow Fremont Federal Organization to live our Mission to deliver the Best Advice, Best Service, and Best Products to promote healthy financial living. To accomplish this effort this position must build a team that will deliver outstanding service to members and team members in alignment with our established Service Standards. A key component of living out our mission is to recommend to members our products and services that will help to promote HEALTHY financial habits. In addition, guides and manages branch office in providing quality service to members in account transactions, loan applications, and new accounts. This role is intended to fully prepare a credit union employee for branch management within 12 months.

Essential Functions

  1. Inspiring and motivating others to perform well.
  2. Demonstrate enthusiastic support of mission, values, and long-term objectives
  3. Ensure team consistently exceeds minimum expectations in service delivery.
  4. Ensure team consistently exceeds minimum expectations on sales performance.
  5. Works with Branch Manager to develop and supervise department staff including but not limited to performing annual reviews, approving time, authorizing overtime, and coordinating staff vacations.
  6. Works directly with members and potential members to evaluate and promote improved and expanded services, under direction of Branch Manager. Ensures the branch image is favorable, reflecting a sound and secure financial institution.
  7. Provides quality service to members in account transactions including all loans, deposits, and credit union products and services. Conduct loan interviews. Process, approve, and / or close loans.
  8. Provides support for any branch position. May be responsible for any job duties related to that position when necessary for the efficient operation of the branch.
  9. Develop new business for the credit union. Cultivate new and maintain existing relationships.
  10. Attends various meetings in the community and/ or trade associations to develop new business prospects and to promote the credit union.
  11. Assist in the preparation and implementation of the budget for the branch that is consistent with the credit union’s overall strategic plan.
  12. Coordinates deposit, lending, and member services functions in accordance with policies, principles, and procedures
  13. Assists in preparation of branch reports detailing transaction and cross-sell activities and any other reports as requested.
  14. Assists in monitoring branch activity, including number of transactions, volume, teller errors, loan volume, teller and loan sales, and new accounts.
  15. May assist Branch Manager in evaluating the job performance of branch office staff to ensure quality of work and service to members.
  16. Responsible for ensuring all required branch cash audits including vault and teller drawers are completed as defined per policy.
  17. Provides written documentation of policy and procedural violations or inadequate performance of employees and recommends disciplinary action to Branch Manager or Chief Operation Officer.
  18. Assists in managing the security and safety of the branch. Analyze and monitor security and safety policies and procedures on an on-going basis, including robbery procedures.
  19. Assists in conducting regular branch staff meetings to communicate branch and/ or credit union information.
  20. Serves as a Member Service Supervisor / Vault Teller for the credit union, which includes ordering cash and currency, verifying cash received, maintaining full vault security, and balancing vault cash nightly.
  21. Researches and recommends procedural and operational process changes as appropriate and develop alternate solutions.
  22. Responsible for the interior and exterior appearance of the physical facility and for proper operation of equipment.
  23. Maintains communications with Branch Manager and CXO; prepares and submits assigned branch reports, attends scheduled meetings.
  24. Assists with application and evaluation of policies and procedures withing the branch to ensure consistency.
  25. Maintains regular and reliable attendance.

Other Duties

  1. Assist staff or members in solving complex account problems or issues.
  2. Reviews rates and services of competing organizations in respective area.
  3. Monitors attainment of established sales goals for the credit union’s products and services and establishes standards to ensure quality service delivery.
  4. Analyze and recommend workflow improvements and equipment needs on an on-going basis.
  5. Participates in community and professional activities to help develop new business and enhance the credit union’s image.
  6. Provides a high degree of service to members, potential members, and all third-party agencies.
  7. Ability to research member questions and inquiries and responds to them in a timely manner.
  8. Keeps work area and branch neat and organized. Keeps all confidential documents out of sight.
  9. Performs other related or special assignments and other duties as assigned or required.

Qualifications

Preferred Experience

High School Diploma required. Bachelor’s Degree or equivalent experience preferred. One years’ experience in Branch Operations position to include supervision, member service, compliance and lending, preferred. Knowledge of current regulations and compliance issues.

Highly developed communication skills needed, both written and verbal, to communicate with members and employees clearly and concisely, and all levels of management, staff and vendors. A high degree of interpersonal skills is required. Well-developed verbal and written communication skills, member relations and interpersonal skills, accurate data input skills, and knowledge of credit union policies and procedures. Ability to organize and prioritize tasks in a flexible environment and to work on more than one task at a time. Ability to work independently with minimal supervision. Ability to handle pressure of meeting deadlines. Responsible for producing high quality work. Supervisory skills. Ability to make decisions in a timely manner with appropriate support, justification, and follow-up. Ability to accomplish all branch operation requirements and goals.

Advanced knowledge of Microsoft Office applications including Outlook, Excel, and Word.
Advanced skills in using computers and related equipment, 10-key calculator, multi-line telephone/intercom systems, and a variety of general office equipment including copy machines, scanners, and fax equipment.

Maintain a high degree of confidentiality in dealing with various credit union, personnel, and member information. Light travel is required. Travel to various branch locations or to off-site trainings may be necessary on occasion.

Decision Making

Under the direction of the Branch Manager, responsible for sound and immediate decisions regarding member / employee questions or problems with matters of policies, procedures, or regulations are involved.

Financial responsibilities

To be responsible for safeguarding the credit union’s assets by ensuring that policies and procedures are followed. Responsible for all assigned financial aspects of the branch office.

SUPERVISORY RESPONSIBILITIES

Responsible for supervising all branch employees in the absence of the Branch Manager.

PURPOSE: Provides administrative and office management support to CEO/President and Executive Team. Coordinates all Board of Directors functions including seminars, meetings, mailings, and annual events. Demonstrates an exceptional level of professionalism and decorum. Takes on new and progressively challenging responsibilities to advance the value and contribution of the role to the credit union’s operations and strategic direction.

ESSENTIAL FUNCTIONS:

  • Supports C-Team with daily tasks including scheduling appointments for CEO/President and when needed the Executive Team
  • Prepares confidential correspondence and complex documents on behalf of the CEO, to include letters, memos, and reports, regularly using independent judgment
  • Performs administrative duties for all executive staff under general supervision. (CEO and CEO direct reports)
  • Attends Executive and other management meetings and maintains records of the meeting as required
  • Prepares and assembles monthly Board information packets
  • Develops and maintains a record-keeping system for reports and other documents.
  • Identifies administrative needs and develops appropriate solutions or recommendations
  • Performs research and analysis of administrative operations to improve efficiencies and effectiveness in support of the executive team
  • Contacts credit union personnel at all levels to gather information and prepare reports
  • Arrange logistics for executive staff, management staff, and Board meetings. Coordinate and independently schedule appointments for the CEO

Purpose

To accomplish this effort this position must build a team that will deliver outstanding service to members and team members in alignment with our established Service Standards. In addition, assists in the management and efficient operations of all facets of data processing and other technology and operations on an on-going basis by working with the CIO to maintain computer capabilities; implement new systems, procedures, and programs, and provide support for all technology required to meet the credit union’s needs. Manage help desk employees and any future IT employees.

Essential Functions

  11. Vendor Management: Manage relationships with external vendors, contractors, and service providers to ensure the effective delivery of IT products and services.

  15. Database Management and Report Writing: Manage the Credit Union’s databases for easy report writing. Develop reports from that data that other departments, executives, or board members have requested.

ESSENTIAL JOB FUNCTIONS

  • 1. Deliver outstanding service to both members and team members in alignment with Fremont FCU’s Service Standards.
    2. Identify member needs and recommend product and service solutions that will promote healthy financial habits.

    5. Develop and maintain effective product knowledge as measured by the annual Product Knowledge Assessment.
    6. Supervises the activities of the teller/MSR operations area by assigning work, answering questions, solving problems, helping with complex transactions and sensitive member relations problems. Explains policies and procedures to staff and members.
    7. Ensures that staff is trained and cross-trained in all phases of their positions to ensure the delivery of quality service to members and to ensure accuracy in transactions. Trains new teller/MSR’s in proper procedures for counting and handling money, checks, and other types of financial documents, balancing, performing off-line functions, handling signatures and customer verifications, preventing frauds, and dealing with robberies. Uses teller / MSR manuals to educate new tellers / MSR’s on the credit union’s procedures.
    8. Familiarizes new tellers / MSR’s with the types of accounts and services that the credit union provides using brochures and teller / MSR manual during the training process.
    9. Assists tellers / MSR’s with balancing and verifying teller cash as needed when out of balance.
    10. Operates a teller / MSR window via a teller terminal and cash drawer daily to provide the best member service to each member.
    11. Responsible for performing all required branch cash audits including vault and teller drawers as defined per policy.
    12. Verifies large item deposits daily for approval of immediate credit or holds to be placed on accounts, using a teller terminal for account information and adhering to REG CC policy.
    13. Balances teller cash daily to the general ledger.
    14. Assist Branch Manager with performance appraisals for tellers / MSR’s under direct supervision.
    15. Responsible for maintaining a sufficient balance of currency at all times within established branch and teller drawer guidelines. Also responsible for the supply of official checks and money orders.
    16. Compliance with all BSA / CIP policies. Trains new tellers on BSA / CIP requirements.
    17. Responsible for maintaining vault cash, balancing it, and ensuring that adequate cash levels, without being excessive, are on hand to handle teller / MSR and member needs.
  • 18. Responsible for opening and closing offices / branches when applicable.
    19. With the assistance of one teller / MSR, opens ATM and counts deposits.
    20. Performs all supervisory override duties as prescribed by policy.
    21. Ensures that policies and procedures adopted by the Board and various committees pertaining to this area of responsibility are properly implemented and effectively administered. Recommends to the Branch Manager any changes that may be necessary to the daily operations of the teller/MSR area.
    22. Periodically audits cash basis of each teller / MSR. Does surprise cash counts.
    23. Prepares reports of all shortages and overages daily—Notifies Branch Manager immediately of all unreasonable irregularities and any cash shortage.
    24. Assigns, directs, coordinates, and reviews the work of assigned staff. Supervises and follows up on all daily activities.
    25. Is responsible for security in the teller / MSR area, ensuring all cash drawers are properly locked and the safe is secured and all alarms are activated.
    26. Responsible for scheduling hours for tellers / MSRs in the department and ensuring the teller area is manned and ready for business throughout the day.
    27. Responsible for keeping tellers / MSRs supplied with sufficient supplies and forms to process daily activities.
    28. Runs START and FINISH procedures if needed.
    29. Balance and maintain records and report sales for money orders.
    30. Order, receive, and verify Corporate One and 5/3 Bank cash. Tag bags of loose coin and prepare documentation for shipment of coins to the 5/3 Bank cash vault.

    32. With the assistance of one teller / MSR, remove night drop entries daily from the depository. Verifies and records in the log.
    33. Cross-sell credit union products and services.
    34. Maintains regular and Reliable attendance.

  • 1. Assist in looking up statements or checks in OnBase.
    2. Provides a weekly lunch and balance schedule to ensure proper staffing of the teller / MSR area.
    3. Reviews all supply requests for the Teller / MSR area for accuracy and completeness.

Financial responsibilities
This position has a very high financial responsibility, verifying and balancing thousands of dollars a day in a cash drawer and the vault. Responsible for the approval of large deposits daily for immediate availability of funds, or holds, as appropriate. Extremely high impact on the organization if errors are made in this position. Constant out of balances or large one time out of balance in cash drawer or the vault could result in loss of accounts to the credit union and reputation of the credit union image tarnished. Approval of large checks, which are later uncollectible, could result in loss of money to the credit union.
Fraudulent transactions which could have been detected by controls such as verifying I.D. or signature card could result in loss of money to the credit union. Other controls include verifying everything on the Branch-End-of-Day schedule paperwork to make sure each transaction balances.

Purpose
The primary purpose of this position is to assist Fremont Federal Credit Union to live our Mission to deliver the Best Advice, Best Service, and Best Products to promote healthy financial living. To accomplish this effort this position must deliver outstanding service to members and team members in alignment with our established Service Standards. In addition, ensures the smooth, accurate, and timely processing of mortgage loan applications. This role involves gathering, verifying, and reviewing loan documentations, communicating with members to provide support and updates, and coordinating with underwriters to expedite the loan process in compliance with regulatory requirements.

Essential Functions

  • Deliver outstanding service to both members and team members in alignment with Fremont FCU’s Service Standards.
  • Meet all established performance goals for service as measured by the Internal Service Survey.
  • Establishes loan files in the Mortgage Software Program and obtains complete and accurate documentation in compliance with all regulations and procedures.
  • Scans mortgage documentation and files into the OnBase system and Loan Producer.
  • Acts as a liaison between the members, loan originators, underwriters, and closing to ensure a helpful and friendly borrowing experience.
  • Provide exceptional member service by addressing borrower’s questions and inquiries promptly and professionally ensuring a positive experience throughout the loan process.
  • Verify and analyze loan documentation including income, deposits accounts, credit reports, appraisal, and title work, while maintaining compliance with all applicable federal and state regulations.
  • Updating and verifying data in the Loan Producer system as needed.
  • Request flood certification to identify if mortgaged property is or is not located in a flood hazard zone.
  • Geocodes all subject property addresses to identify Metropolitan Statistical Area data for HMDA.
  • Prepare and submit mortgage loan package to underwriting department for final approval.
  • Submits loan closing documentation to title companies and reviews for accuracy and completeness and processes closing requirements.
  • Responsible for handling non-public information (NPI) about members and adhere to all applicable internal NPI policies and procedures and protect the confidentiality of member information.
  • Attends mortgage training workshops and seminars as assigned. Receives and reads notices, periodicals, and correspondence to maintain working knowledge on current mortgage lending regulations.

The trainer is responsible for communicating the credit union mission, vision, and philosophy to all staff members.

Essential Functions

  • Deliver outstanding service to both members and team members in alignment with Fremont FCU’s Service Standards.
  • Meet all established performance goals for service as measured by the Internal Service Survey.
  • Conduct training sessions for new employees in member service operations (teller) and other areas of the credit union. Training may be in group settings, one-on-one or online, and may require working with trainees/members in a branch. Provides training in the credit union’s operating system, member service skills, cash counting, and credit union products and services.
  • Assist with conducting supervisory training classes for managers and supervisors to develop and improve management skills.
  • Conducted seminars and workshops for staff on new products, policies, and procedures.
  • Responsible for researching, planning, and coordinating professional training to keep staff current in their specific areas of focus.
  • Assist the Learning and Development Manager with the development of procedural manuals used in conjunction with training needs. Assembles and composes information for the manuals.
  • Creates training activities that result in interactive participation from staff. Selects and/or develops teaching aids such as training handbooks, demonstration models, multimedia visual aids, computer tutorials, and reference works.
  • Investigate and research available training methods and procedures to determine new or improved training methods as well as new and improved training content materials.
  • Tests trainees to measure progress and to evaluate the effectiveness of training. Reports on the progress of employees during training periods. Assists management in evaluating and measuring the effectiveness of the programs through testing and course evaluations.
  • Assists with new hire orientation for new employees.
  • Maintains ongoing communication with supervisor, informing supervisor of all pertinent problems, irregularities, new developments, changes, and other important information within the department.

Write using a pen/pencil or personal computer keyboard daily. Must be able to communicate through speaking and hearing and use visual acuity for examining and reading documentation. Position is required to sit, pull, push, reach, and use repetitive hand motions. Position may be required to work long or unusual hours on occasion. Ability to work overtime, attend meetings, seminars, and travel.

Working Conditions
Work is performed primarily indoors with some potential for exposure to safety and health hazards related to electronics work. May require periodic travel between branches. There is exposure to potentially hazardous conditions such as robbery. Employees are to receive detailed instructions and procedures to follow to minimize risk. However, no accommodation will be made which may pose serious health or safety risks to the employee or others or which impose undue hardships on the organization.
